Top Tips on Team Management Guide From a Social Media Management Agency Owner

Hiring a team is one thing, but keeping everything organized is another!

When you are running a social media management agency, there's so much focus on your clients and ensuring that they have the best experience, but it's also important to think about your team and how to keep all your internal processes running smoothly, too. This is only going to improve your client experience because everyone is on the same page and organized. In this blog, we are sharing our top tips for team management, the same framework we have used in our agency for almost seven years now!

Information

Have a Dedicated Space for Info

We like using a project management tool for this. Having all important information in one spot is crucial. For us, we create spaces for our brand and projects, plus a separate space per client.

Have a Password Tool for Easy Sharing

A tool like LastPass is helpful for secure and easy sharing of account information, plus access can be updated.

SOPs

Share exact processes with your team! We love using Tango to capture the steps you do on a task, and it will turn it into an SOP your team members can learn.

Loom Videos

Loom is a great tool for explaining projects. This way, your team can learn step-by-step through a video how to do something, and have the video to go back and reference as they move through projects.

Communication

Daily Slack Communication

Having a tool where your team can ask quick questions is great. We love Slack for sharing links, thoughts, and yeah...maybe a meme or two!

1:1 Meetings

This allows us to get on the same page and ask questions on an individual level. This can help walk through each team member’s specific roles. Steal our 1:1 Meeting Agenda:

  1. What are you working on?

  2. Do you need anything from me?

  3. Action Items:

Team Meetings

This helps fill in any of the gaps that the message communication misses, builds personal relationships with the team (which we cherish while we all WFH!), and gets us on the same page with updates and ask questions.

Client Communication

We use both Slack and Zoom meetings for communicating with clients, and whoever is working on the account is included in both!
